As Office Manager for our Lexington, Kentucky location, you will play a pivotal role in ensuring the smooth and efficient operation of this office, fostering a positive experience for our employees, visitors and guests.

What You'll Do:

  • Handle the day-to-day operations, prioritizing efficiency, safety and customer service
  • Order, manage, and maintain regular catering and pantry items, office supplies, pantry items, and various equipment
  • Ensure the cleanliness, safety, and proper maintenance of common spaces like pantries and kitchens
  • Coordinate promptly with property management, utility companies, and facility services to address and resolve physical space needs in a timely manner
  • Manage the building security system and vendors, guaranteeing proper employee access and building security
  • Plan and execute local company events and outings, both onsite and offsite, to promote employee engagement and team building
  • Process invoices and expense reports
  • Source and manage office service vendors, negotiating pricing and overseeing service level agreements
  • Serve as an onsite ambassador for interview visits and first-day onboarding, creating a warm and informative experience
  • Collaborate with IT to ensure new employees have the necessary workspace setup, equipment, and technical support to succeed
  • Support the Xometry purchasing email account, processing orders for employee-requested items, coordinating internally to confirm purchases, communicate delays or substitutions to requestors, and foster smooth collaboration

What You Need to Be Successful:

  • Bachelor's degree or equivalent experience in office management is preferred
  • Minimum 4-5 years of proven success managing an office location and providing administrative, facilities, accounting, and communication support
  • Strong attention to detail and organizational skills to effectively manage multiple tasks simultaneously
  • Exceptional written and verbal communication skills, ensuring clear and concise information exchange with all stakeholders
  • Intermediate level of proficiency in Google Suite or Microsoft Office products, particularly managing spreadsheets and creating presentations
  • Ability to prioritize tasks and manage multiple projects and tickets in a fast-paced environment
